Terms of Service

1. Agreement to these terms

By creating an account or using the CPAC Tracker platform (“the Service”), you agree to be bound by these Terms of Service. If you are using the Service on behalf of a school or organisation, you confirm you have authority to bind that organisation to these terms.

If you do not agree to these terms, do not use the Service.

2. The Service

CPAC Tracker provides an online platform for recording, tracking and managing A-Level science practical competency (CPAC) endorsement records. The Service includes teacher accounts, student portals, digital lab books, assessment records and reporting tools.

CPAC Tracker is not affiliated with, endorsed by, or approved by AQA, OCR, Pearson Edexcel or any other awarding organisation. Use of the platform does not constitute official endorsement submission and does not replace your school's obligations to awarding bodies.

3. Accounts

  • You must provide accurate and complete information when creating an account.
  • You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
  • You must notify us immediately if you believe your account has been compromised.
  • Accounts are for individual use. Sharing login credentials with other staff members is not permitted — each teacher requires their own account.
  • You must be at least 18 years old to create a teacher account.

4. Acceptable use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable regulation.
  • Upload content that is offensive, defamatory, obscene, or that infringes the rights of any third party.
  • Attempt to gain unauthorised access to any part of the Service or another user's account.
  • Reverse engineer, decompile or attempt to extract the source code of the platform.
  • Use automated tools to scrape, crawl or extract data from the Service.
  • Misrepresent student competency records or upload false assessment data.
  • Use the Service in a way that could damage, disable or impair its operation.

5. Student data and safeguarding

Teachers and schools are responsible for ensuring they have appropriate authorisation to add student data to the platform in accordance with their school's data protection policies and UK GDPR obligations.

You must not add personal data for students without a lawful basis to do so. Student names and email addresses should be limited to what is necessary for the platform to function.

CPAC Tracker implements access controls to ensure student data is only visible to the teacher(s) responsible for that student. You must not attempt to circumvent these controls.

6. Subscriptions and payment

  • Paid plans are billed in advance on a monthly or annual basis via Stripe.
  • All prices are shown in GBP and are exclusive of VAT where applicable.
  • Subscriptions renew automatically unless cancelled before the renewal date.
  • You may cancel your subscription at any time through your account settings. You will retain access until the end of the current billing period. We do not offer refunds for partial periods.
  • We reserve the right to change pricing with 30 days' notice to existing subscribers.

7. Free tier

The free tier is provided at our discretion and may be modified or discontinued at any time with reasonable notice. Free accounts are subject to usage limits as described on the pricing page.

8. Intellectual property

The CPAC Tracker platform, including its design, code and content, is owned by CPAC Tracker and protected by copyright and other intellectual property laws. These terms do not grant you any rights to our intellectual property other than the right to use the Service as described.

You retain ownership of any data and content you upload to the platform (student records, lab book evidence, assessment notes). By uploading content, you grant us a limited licence to store and process it solely to provide the Service.

9. Service availability

We aim to maintain high availability of the Service but do not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance where possible.

We are not liable for any loss or inconvenience caused by temporary unavailability of the Service.

10. Limitation of liability

To the fullest extent permitted by law, CPAC Tracker shall not be liable for any indirect, incidental, special or consequential loss arising from your use of the Service, including but not limited to loss of data, loss of revenue, or failure to achieve endorsement outcomes.

Our total liability to you in connection with the Service shall not exceed the total amount paid by you to us in the 12 months preceding the claim.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, fraud or any other liability that cannot be excluded by law.

11. Termination

We may suspend or terminate your account if you breach these terms, if your subscription lapses, or if we believe your use of the Service poses a risk to other users or the platform.

Upon termination, you may request an export of your data within 30 days. After this period, data may be permanently deleted.

12. Changes to these terms

We may update these terms from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of the Service after that date constitutes acceptance of the updated terms.

13. Governing law

These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
